Properly registering walk-in visitors is essential for maintaining security, ensuring accurate record-keeping, and creating a smooth front-desk experience. This article provides clear, step-by-step guidance to help staff consistently and efficiently register new walk-in visitors. Only Admins and Facility Manager can register a visitor on behalf of a user.
Step by Step guide:
- Navigate to Visitors section in HybridHero after logging in to app.hybridhero.com
- Select the Building location from location picker icon
- Click on New Visitor as shown in the image below:
- Select the Host (mandatory field)
- Select the visit type as Walk-in and enter the details
- If the walk-in is a repeat visitor, tick the box of repeat visitor. (this will auto-fill the First Name, Last Name and Phone number based on previous records)
- Select the Visiting Reason*
- Select the Building (if there are more than one office building/floors)
- Click on Check-in and the details of the visitor will be saved
*Visiting reason will be available based on the location selected. Change in location will change the available visiting reasons.
