In this article we will understand how to add a new user. By adding users to the system, teams can collaborate more efficiently, book resources as needed, and be visible in the org chart or team structures.
Note: You must have either a Facility Manager or Admin role to create a new user.
Step by Step guide: To Add a New User (Single User)
- Login to your HybridHero account.
- Navigate to User settings under Company Settings.
- The User Settings page will open, displaying the list of users in the organization.

Click on the Add a user
- A settings panel will open on the right-hand side of the screen.
- Enter the details under Personal details section
- Once the personal details and personal defaults are saved, Click on the Second tab Teams option
- In the Teams tab, search for the Primary Team in search box and a team will be assigned
- Click Save and you're all Set!
The new user has now been created and assigned to their primary team.
They will automatically receive an email invitation to join your organization's HybridHero account. Once they accept and log in, they will be fully integrated into the system and can begin booking resources and collaborating with their team.
Step by Step guide: To Add a Multiple Users (Bulk Upload)
Note: You must have an Admin role to perform a bulk upload of multiple users.
- Login to your HybridHero account.
- Navigate to User Settings under Company Settings.

Click on Add Multiple Users
- The User Settings page will open, displaying the list of users in the organization.
- The User Bulk Upload screen will open on the right hand of the screen
- Click on Download CSV Template.
- Fill in all the mandatory details in the downloaded CSV file (e.g., name, email, team, active, etc.)
- Click on Select File to upload the completed CSV file.
- Click Validate to check for any errors in the file.
- Validation Errors During Bulk Upload
- If there are any invalid entries in the file, after validation, click on Download Validation Report.
- The report will highlight which column(s) contain errors.
- Rectify the incorrect entries in the CSV file, then upload the corrected file again to validate and proceed.
- If Validation Is Successful
- It will display all entries are successful, hence the file is successfully validated, simply click on Upload and all the users will be added to the system within seconds!
