How to book a meeting room?

Learn how to book a meeting room using HybridHero’s V2 mobile app.

You can book a room from the mobile app from the Locate tab or the Book tab.

Book a room from the Locate tab.

  1. Tap Locate from the navigation bar.

  2. If necessary, adjust the location, date and start/end times for the booking.

  3. To adjust the zoom level of the floor plan, you can utilize the pinch gesture.

  4. The availability of rooms, desks, and other resources is represented using a colored key system:

    Green: Available
    Orange: Available by request​
    Red: Unavailable​
    Grey: Booked
    Blue: Booked by me

  5. Tap on any resource to view further details.

  6. To make a booking, tap a location that is either Available or Available by request.

  7. Set the start and end time of your booking and tap Continue.

  8. Enter the participants, subject, and optional comments, and tap Book. Any comments will be included in the invitation email sent to participants.

  9. On completion of a booking of a room that is indicated as available, all attendees will receive an email invitation. If the room is indicated as available by request, the attendees will not receive an invitation email until the booking has been approved.

Book a room space from the Book tab.

  1. Tap Book from the navigation bar.

  2. Select Room from the dropdown list to display room availability.

  3. The number of available rooms for each day is shown in green on the calendar.

  4. To view availability for another location or date/time, simply adjust the selections above the calendar.

  5. To make a booking, tap any date that shows availability. This screen will show you the capacity and the amenities for the room.

  6. Set the start and end time of your booking and tap Continue.

  7. Enter the participants, subject, and optional comments, and tap Book. Any comments will be included in the invitation email sent to participants.

  8. On completion of a booking of a room that is indicated as available, all attendees will receive an email invitation. If the room is indicated as available by request, the attendees will not receive an invitation email until the booking has been approved.
