HybridHero allows Admins to set cancellation rules for meeting rooms, helping free up unused spaces, reduce no-shows, and keep rooms available for others.
Note: Only Admins and Facility managers can make the changes in the desk configurations
Step-by-Step Guide
- Log in to your HybridHero account
- Click on Company Settings
- Open the Location Settings section
- Click Edit button on top right corner
- A configuration panel will appear on the right-hand side of the screen

It will by default open the Desk Configuration section
Note: This setting works only for Manual Check-in and does not apply to Automatic Check-in.

Under Manual Check-in, set the desired time (in minutes or hours) before the scheduled start time after which un-checked-in bookings will be automatically cancelled
- Click Save Changes to apply the update
Once enabled Bookings will be automatically cancelled if users do not check in within the configured time limit and Users will receive email notifications, helping ensure a more structured and predictable schedule for everyone
