This article explains how to Check-in/ Check-out users on their behalf in HybridHero. This feature helps ensure accurate attendance and desk utilization when users forget to check in or check out themselves.
Who can perform this action?
- Admins & Facility Managers: Can check in/check out any user.
- Team Managers: Can check-in/Check-out users only within their assigned team.
Note: This action is available only when configuration is set for Manual Check-in.
Step-by-Step Guide: Check In / Check Out on Behalf
- Log in to HybridHero.
- On the right-hand side of the Dashboard, there's Who’s In / Who’s Out section.
- From the team dropdown, select the team the user belongs to.
- A list of users will appear, grouped by their booking location.
- Click Expand next to the location to view the users under it.
- Just before the scheduled check-in time, a green arrow icon will appear next to the user’s name.
- Click the arrow icon to check the user in.
(Note: Check-in can be performed only within the allowed early check-in window configured for the asset)
Step by Step Guide: To Check-out on Behalf
- Log in to HybridHero.
- On the right-hand side of the Dashboard, there's Who’s In / Who’s Out section.
- From the team dropdown, select the team the user belongs to.
- A list of users will appear, grouped by their booking location.
- Click Expand next to the location to view the users under it.
- The user profile will be highlighted with a green circle, indicating the user is checked in.
- Just before the check-out time, a blue arrow icon will appear next to the user’s name.
- Click the arrow icon to check the user out.
Note: If a user is not manually checked out and the scheduled check-out time has passed, the system will automatically check them out. In this case, the arrow icon will appear in red (refer to the image below).
Checking users in or out on their behalf ensures smoother day-to-day operations and accurate attendance tracking.
